The ideal candidate will provide top-level assistance for high-level executives. They should be well-organized and be comfortable scheduling meetings and responding to emails on the executive’s behalf. Lastly, this individual should be able to draft documents and help the executive with any necessary meeting preparations.
Responsibilities
- Calendar management for executives
- Aid executive in preparing for meetings
- Responding to emails and document requests on behalf of executives
- Draft slides, meeting notes, and documents for executives
- Manage and maintain executive calendars, including scheduling appointments and meetings.
- Coordinate and arrange travel and accommodations for executives.
- Act as the primary point of contact between executives and internal/external stakeholders.
- Prepare and edit correspondence, reports, and presentations as needed.
- Assist with the preparation of meeting materials and agendas.
- Write and send the meeting minutes immediately.
- Manage and prioritize incoming communication, including emails and phone calls.
- Conduct research and provide support for special projects as needed.
- Perform general administrative tasks for the CEO.
- Provide support to other team members as needed.
Qualifications
- Bachelor’s degree or equivalent experience.
- Ability to multi-task is a must.
- Discretion and confidentiality are essential.
- Proactive & able to work independently.
- Strong organizational skills and attention to details.
- 3-6 years of experience in EA role or equivalent experience.
- Proficient in Microsoft Office suite.
- Experience in managing multiple priorities, administrative coordination, and logistics.
- Well-organized, detail-oriented, ability to multi-task with great follow-up skills.
- Strong written and verbal communication skills.
